Due to unforeseen complications with the Cambridge Centre for the Arts we have been required to change the venue space of our upcoming performance of "THE POLAR EXPRESS"
It is only a short 20 minutes drive from the studio.  It provides us with a proper stage space and auditorium seating. Maps are available at the front desk.
We apologize for any inconvenience this may cause however the change allows us to offer more seating! We can now allow for a maximum of 4 tickets per family to be purchased in the initial stage.
Any unsold tickets can then be purchased, as previously mentioned, as of Saturday November 22nd 2008.

Reminder:
A costume fee of $10.00/costume is also asked to be paid in full by Saturday November 1st, 2008. Please note that this is a Rental Fee for all numbers.

We would like to thank-you for signing up to be volunteer for out up-coming performance of "The Polar Express"
Below you will find detailed information regarding what if being asked of you. Information has been broken down into each Volunteer category.

Costume Committee:
We have minor sewing that needs to be done. If you are in the building during your child's class please find a job to be done in the "Green Room" (where TC's for viewing are located). A sample of the completed sewing will be available for you to follow. The studio will provide any sewing materials that are required, i.e needles and thread. If you are unable to stay during class times and  would like to take projects home please speak directly to Miss Millen or Miss Long.
The following jobs are needed:
- Snaps to be sewn on a variety of coloured wrap skits.
- Fur collar and cuffs to be tact on burgundy bodysuits.
- Christmas Tree, 6 to have new materials wrapped on the bottom, a different colour each tree.

We are starting to collect as many "plastic grocery" bags as possible. If you are able to contribute any please place them in the collection bin located in the Green Room.
All students will be responsible for transportation on their own costume(s) on the day of the performance.

Transport Committee:
A number of props and other items will be required to be transported on the day of the performance. to avoid mass confusion we are asking that you arrive at the studio by 3:00 pm on Saturday November 29, 2008. This will allow time for items to be organized into vehicle with hopefully little confusion. You are then asked to arrive at Eastwood Collegiate Institute by 4:30 pm to unload anything you may have. Items can be dropped off the back door of the Facility parking lot located off of Jackson Avenue and then a right onto Clifford Road. (Very small road looks more like the driveway into the parking lot)
After the performance, we are asking all available transportation volunteers to meet at the back door of the Facility parking lot for pick and to return directly to the studio where items can then be unloaded

Set-up and Take Down Committee:
Three classrooms will be used as the dressing rooms for our students. Props will need to be placed in running order outside of these classrooms in marked baskets. Other props will be required to be placed in the backstage areas. Instructions will be assigned in advance.
Christmas trees are to be set up on stage as well as certain props placed on stage.

All props and trees will be collected and taken to the back door for the transportation committee to pick up after the show is finished.

Backstage Committee:
The backstage committee will be assigned a classroom along with a group or groups of dancer to assist with any last minute hairstyles or costume adjustments.

A running order of the show will be posted and you will be asked to get students ready as they are needed. A staff member will communicate with you throughout the performance so you will know when to ready each group.

If they are dancers in your assigned group that required a " costume change(s)" this will be part of your responsibility to assist those dancers and assure they are ready for their next number. To help with these process it is suggested that all costume to be pre-set to avoid lost items and confusion during the performance.  Some dancers may required a change in hairstyles as well.

If you wish to watch the performance please inform Miss Millen Immediately by e-mailing the studio at dianne@cambridgedance.com
This will give us "true" numbers of backstage helpers. You can join the audience 5 minutes before the curtain rises and redeem your tickets at the theatre doors.

Rehearsal Days at the studio:
To help keep all our students safe, certain measurements have been taken for these special rehearsals.
All volunteers for rehearsals are asked to arrive at the studio between 30 and 15 minutes before start time.

As a volunteer for these days you will be assigned a group of children to watch during each rehearsal in our upstairs studio. A video of the Polar Express will be playing, as well reading books and colouring books will be se up to help entertain the children.
A running order of the show will be posted and you will be asked to get students ready as they are needed. A staff member will communicate with you throughout the rehearsal so you will know when to ready each group. As each group is needed you will escort them downstairs and then back up again when they are finished. There is a finale in the performance when all students will perform on stage. This is where we will need most help in keeping the children organized and quiet.
At the end of the rehearsal you will help the children in your group dress to leave and then, in groups one at a time escort them downstairs to their waiting parents. Each group will have a signing out form to insure each child leaves safely. A check by you is all that is required.

Below you will find your assigned classroom and group(s).
